Who we are

Merx Digital Solutions Ltd, a company registered in England and Wales (company number 16920547), is the controller of the information in the Director Register. For anything about your information, email MerxServices@gmail.com.

What we collect

• About directors: name, former names, date of birth, nationality, country of residence, occupation, home and service addresses, email and phone, Companies House personal code, the type and expiry date of the identity document checked (never its number), consent to act, shareholding and control details, and notes about the appointment.
• Directors' personal banks: the bank's name only. We never record a person's sort code or account number.
• About companies: company details, tax references (UTR, PAYE and Accounts Office references) and the company's business bank account details.
• About our staff who use the system: name and email address, and a record of what they change and when.

Why we use it

To appoint directors and set up their companies: to file appointments with Companies House, register companies for tax, and open business bank accounts. We check personal bank names only so that a company does not apply to a bank, or banking group, where one of its directors already banks personally.

Our lawful basis

• Contract and legitimate interests: to arrange a person's appointment as a director and set up the company.
• Legal obligation: to meet company law and tax requirements, such as Companies House filings and identity checks.

Who can see it

Only staff we have invited. Everyone else, including anyone signed in with an email address we have not invited, sees nothing. We do not sell your information or use it for marketing.

Where it is stored

In the UK. The records are held by Supabase in its London data centre, and the app runs on Vercel's London servers. Both act as our processors and may only use the information to provide their service to us. Data is encrypted in transit.

How long we keep it

Until 6 years after the person stops being a director, then we delete it.

Signing in with Google

Staff can sign in with Google or with a link sent by email. With Google, we use only your name and email address, to check that you are on our invite list. We do not see your Google password or read anything else in your Google account. Google also sends a link to your profile picture, which we do not use. The site sets only the cookies needed to keep you signed in.

Your rights

You can ask us to:

• give you a copy of the information we hold about you;
• correct anything that is wrong;
• delete your information, where we no longer need to keep it by law;
• restrict or object to how we use it.
